Title: Admin Assistant
Job description; Expectations:
● Provide customer service and support for all residents in the building.
● Answering the phone, taking messages, buzzing in guests, checking in parcels,
scheduling vendors.
● Inputting resident information into the CRM and keeping it updated.
● Assist management to schedule all vendors and projects on site
● Become proficient with: Whatsapp, MS Word, Google Docs, and G-cloud.
● Support clients communication in receiving proper notices and email communication in a
timely manner (and post on Townsquare)
● Ability to maintain confidentiality with company and personnel information
● Check emails throughout the day and re-prioritize constantly; respond responsibly within
your fiduciary roles and responsibilities.
● Use Google calendar daily to synchronize schedules with projects, meetings, conferences,
teleconferences, travel, logistics, etc.
● Download on smartphone (Whatsapp, Google Drive, and Trello); become proficient in
and use all platforms. Training will be provided daily.
● Learn and use internal operational processes daily (how to draft notices, where to file,
save, and reference via mobile device)
● Once trained, assist in soliciting proposals from vendors (procurement), provide project
management once jobs are accepted by clients.
● Assist with purchasing building & admin supplies, scanning receipts via mobile device
into a tracking system.
● Pick up and drop off supplies, run errands as needed.
● Maintain inventory and ordering for all supplies to support the maintenance team(s).
● Must carry an updated Driver’s license at all times
● Must be a team player, willingness to help out at all times.
● When things go wrong, contact the GM (me) immediately to find a solution.
● Must have a positive attitude and ability to accept direction and criticism
● Starting compensation: (20.00 - 21.00)/Hour plus medical and dental plans
