Full job description

The Association of Apartment Owners of Regency Park is seeking a qualified individual to fill the Resident or Site Manager position. Regency Park has 272 units, recreation room, private park, pool, tennis court and gym. The individual must have great interpersonal skills, be able to multi-task, manage personnel and complex project, self-motivated, strong work ethic, and must be customer service oriented.

 

I. Basic Function

  • Responsible for maintaining the physical asset and maximizing the financial returns from that asset in accordance with the owner’s objectives.
  • Responsible, in conjunction with the Personnel Committee, for hiring, training, supervising, developing, and terminating all on-site personnel.
  • Assists property manager and Board with special projects and administrative tasks.
  • Ensures staff compliance with company policies and procedures.
  • Ensures staff performance of duties on a timely basis.

II. Relationships

  • Reports to property manager and Board President.
  • Supervises all on-site personnel and any contract workers.
  • Maintains relationships with all residents, ensuring consistent application of property policies.
  • Maintains relationships with other departments within the company, including managing agent’s accounting (AP), payroll, administration, etc.
  • Maintains relationships with clients, the community, and the professionals.
  • Maintains relationships with suppliers, vendors, and professionals servicing the property.

III. Responsibilities

A. Maintaining the Physical Asset:

  • Supervises staff and any contract workers.
  • Supervises scheduling of maintenance work.
  • Makes regular follow up inspections on maintenance work.
  • Makes regular inspections of grounds, including all common areas.
  • Makes recommendations for physical repairs, replacements, and/or improvements.
  • Makes recommendations for supplies, materials, and equipment.
  • Recommends expenditures, within budget allocations.
  • Evaluates maintenance operations periodically to determine cost efficiency.
  • Receives repair requests, schedules repairs with maintenance staff, follow up to be certain repairs were completed properly.
  • Requests proposals for common area repairs/maintenance.
  • Manages contracts.
  • Supervises move-in and move-out procedures.
  • Completes additional tasks as assigned by the managing agent and Board of Directors.
  • Handles any emergency that may arise on site.

B. Financial Reporting and Control

  • Assist in preparation of the budget.
  • Review invoicing for accuracy and approves invoicing.
  • Submits Check Requests.
  • Reviews and Submits Personnel Time Sheet.
  • Prepares Petty Cash/Credit Card Reconciliation Reports
  • Makes bank deposits.

C. Administration

  • Supervises maintenance of property files and records.
  • Oversees hiring, training, and employment termination of personnel.
  • Performs employee evaluations and recommendations for promotion and/or salary increase.
  • Supervises Personnel: Security, Maintenance, Janitorial, and Landscaping.
  • Communicates all problems and makes recommendations to property manager & Board.
  • Prepares Resident Manager reports.
  • Registers All Residents and provides House Rules.
  • Enforcement of House Rules.
  • Creates and posts notices.

IV. Qualifications

A. Education/Experience

  • High school education.
  • Accredited Resident Manager (ARM) status; or
  • Minimum three consecutive years experience as a resident/site manager or experience in a related field.
  • Minimum three-year managerial and supervisory experience
  • Ability to handle finances and work within a budget.
  • Appearance compatible with image of property, positive attitude, good sense of humor, energetic, assertive, and capable role model for subordinates.
  • Demonstrated integrity on personal as well as professional level.
  • Excellent communication skills.
  • Attentive to details.
  • Ability to interact with a wide range of people.
  • Ability to solve problems involving residents, personnel, finances, equipment failure, emergency situations, etc.
  • Ability and willingness to substitute for any position.
  • Computer Skills: Email and Microsoft Office.

V. Scope and Compensation Package

  • A. Full-time, exempt, on-call 
  • B. Salary range $70- $100k. Based on level of experience.
  • C. 2 bed/2 bath apt provided for Resident Managers
